The chart of accounts after a quiet vendor upgrade

Upgrades relabel accounts, merge tax codes, and move opening balances. The books can still trial-balance while the meaning of a line has changed.

Most Malaysian mid-market tools push updates overnight. Finance notices when a favourite report layout breaks. They notice later when a posting rule that used to hit ‘Sales — local’ now hits a newly created ‘Sales — unclassified’ that nobody reviews.

On one Langkawi hospitality client, an upgrade introduced a default income account for deposits. Room deposits that used to sit in liabilities began hitting revenue on the day of booking. Occupancy had not changed. Profit had.

Before you accept an upgrade, export the posting matrix and the account list. After the upgrade, export both again and diff them. If the vendor cannot give you a change log in writing, that diff is your change log.

We keep a simple two-column working paper for this: account code before, account code after, with a third column for ‘who approved the remap’. Empty third columns are the finding.
